Firstly decide which ‘protocol’ you want to use. These are the options:

    1. POP
POP allows you to fetch and download your emails to your device, leaving your mailbox on your hosting account empty. This is really useful if you never want to delete anything because it means that your email will never take up space on your hosting account.
    2. IMAP
IMAP will download a copy of emails to your device, leaving all messages on your hosting account. This is useful if you access your emails from several locations e.g. desktop computer, laptop and mobile phone. With IMAP you’ll be able to read the same email from any device because it’s stored in your hosting account. A disadvantage of this is that if you don’t delete old emails and the space taken up by your email grows quickly, then you’ll be paying a premium price just for storing emails. If you have a LOT of email, especially with large attachments like photos or PDFs, and you don’t want to delete anything, then consider a 3rd party email service instead such as Microsoft 365 or Google Business Suite which includes Gmail for your business email.
